Email Forwarding - Trigger Campaigns Without an Integration

Feature Overview

The Email Forwarding feature allows you to trigger Popp campaigns automatically for every new applicant - without an API integration or any IT involvement. When a candidate applies via your ATS or job board (e.g., Indeed), that platform sends an application notification email. By setting up this email notification to send to a unique Popp campaign email address, Popp receives it, parses the candidate's name and mobile number, and immediately kicks off a conversation on SMS, WhatsApp, or email — whichever channel your campaign is configured for.

All Popp needs is the candidate's name and mobile or cell number, present either in the body of the application email or in an attached file (such as a CV or application form).


How it works

1. Popp generates a unique campaign email address

Every Popp campaign has a unique email address in the format:

[External ID]+[account]@automation.joinpopp.com

This address is what you'll use to route application notification emails into Popp.

2. You add the Popp email address to your notification settings

In your ATS, job board, or inbox notification settings, add the Popp campaign email address as a CC or BCC recipient on application notification emails for the relevant role. No API setup required.

3. Popp receives the notification and parses candidate data

When Popp receives the application notification, it automatically extracts the candidate's name and mobile number from:

The body of the email, or

An attachment such as a CV or completed application form

4. The campaign conversation is triggered instantly

Once the candidate's details are parsed, Popp immediately initiates a conversation via the campaign's configured channel (SMS, WhatsApp, or email). No manual action is required.


Setup Steps

Step 1: Configure the External ID on your campaign

  1. Open the relevant campaign in Popp

  2. Navigate to Job Details

  3. Enter a unique identifier in the External ID field — this becomes the prefix of your campaign email address (e.g. jobref123)

  4. Save your campaign settings

Your campaign email address will appear in the format: jobref123+[account]@automation.joinpopp.com

Step 2: Add the campaign email address to your application notifications

  1. Go to your ATS, job board, or email notification settings for the relevant role

  2. Add the Popp campaign email address as a CC or BCC recipient on application notification emails

  3. Save your settings — no further configuration is needed on the ATS side

Step 3: Verify candidate data is present in notifications

Before going live, check that your application notification emails include at least the following candidate information:

  • Full name

  • Mobile or cell phone number

This can appear in the body of the email or within an attachment (CV, application form, etc.). Popp will parse it from either location.


Requirements

  • The application notification email must contain the candidate's name and mobile number — either in the body or an attachment

  • The External ID set on the Popp campaign must match the prefix in the campaign email address

  • Your ATS or job board must support CC'ing an email address on application notifications (all major platforms do)
